The promise everyone has heard
"Everything transfers."
Practices have heard it, believed it reasonably, and found out afterward. Not all
at once — that would at least be clear. It surfaces in pieces, over months. A
patient from 2014 whose old refractions are gone. Scanned documents that came
across as filenames without files. Exam history that arrived as a flat block of
text where structured fields used to be.
By the time you have the full picture, you are twelve months into a contract and
the old system is switched off.
That is the actual risk in changing EMRs. Not the training. Not the downtime. The
possibility that the decade you spent building a record does not survive the move,
and that you find out too late to do anything about it.
So we go first
Before you commit to anything, we run a fidelity report against your own database.
Not a sample. Not a generic migration guide. Your records, counted and compared,
in a document you keep whether or not you ever become a customer.
What the report tells you:
- How many patients, encounters, and documents came across, against how many exist.
- Which fields mapped cleanly, which mapped with caveats, and which did not map.
- What the oldest records look like after conversion, because the oldest records
are where migrations actually break. - Anything we could not carry, named explicitly, before you decide.
The last bullet is the important one
Any vendor can produce a report full of green checkmarks. The part that is worth
reading is the list of what did not come across.
We would rather tell you about a gap while you are still evaluating than discover
it together in month four. A migration with three known caveats you accepted is a
successful migration. A migration with three unknown ones is the story practices
tell at conferences.
Vision therapy history is the hardest part to carry
A routine exam is a snapshot. A therapy program is a sequence, and the sequence is
the clinical value.
Twelve weeks of session notes. Progress measurements taken the same way each time
so they can be compared. The evaluation at the start, the re-evaluations along the
way, and the note explaining why the plan changed in week seven. Read as a list of
dates it means nothing. Read in order it is the record of a child getting better.
Migrations are hard on exactly this. Structured measurements flatten into text.
Sessions survive but lose the program they belonged to. The re-exam is there and
the reason for it is not. Nothing is missing on a count, and the story is gone.
So the report says what happened to the programs, not just how many rows moved.
Why we can do this and it is not common
Because we built a mirror of the source database rather than an export script, the
comparison runs against the real structure of your data instead of against whatever
a CSV managed to carry.
That is an unglamorous piece of engineering and it is the difference between
"we support migration" and "here is your practice, already in our system, count it
yourself."
You are allowed to be sceptical
You should be. You were told everything would transfer once before.
The difference is that this time you are looking at your own records before you
decide, and nothing is asking you to take it on faith.
